1. Who we are

Warlord Minis Canada ("we", "us", "our") runs the online store at warlordminis.ca. We are an authorized Warlord Games retailer based in Edmonton, Alberta, and we ship across Canada. The store is operated by Bear On A Bicycle Home Developments Corp., Suite 2020, 10060 Jasper Ave NW, Edmonton, AB T5J 3R8, Canada.

This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have. It applies to our website, our emails, and orders you place with us directly. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta's Personal Information Protection Act (PIPA).

2. What we collect

When you place an order

  • Your name, email address, shipping address and billing address.
  • Your phone number, if you give it (for example, so the carrier can reach you).
  • What you ordered, order totals, discount codes used, and order history.
  • Payment details. Card and payment information is entered on Shopify's secure checkout and handled by the payment processor. We never see or store your full card number. We only see limited details such as the card type, the last four digits and whether the payment went through.

If you create an account

  • Your name, email address, saved addresses and order history. Your password is stored by Shopify in encrypted form, and we can't see it.

When you contact us

  • Anything you send us by email, contact form or social media message, such as questions, photos of a damaged item, or return requests.

If you sign up for our emails

  • Your email address, the date and way you signed up, and basic engagement data (for example, whether an email was opened or a link was clicked).

Automatically, when you visit the site

  • Device and usage information such as your IP address, browser type, device type, pages viewed, items added to your cart, the site that referred you, and roughly where you are (city or province level).
  • This is collected through cookies and similar technologies. See "Cookies" below.

3. How we use your information

We use your personal information only to:

  • Process, ship and track your order, and send you order and shipping updates.
  • Handle returns, refunds, exchanges and warranty or damaged-item claims.
  • Answer your questions and provide customer support.
  • Run your customer account, if you have one.
  • Send you news, offers and hobby tips by email, only if you opted in.
  • Understand how people use the site so we can improve it, our product range and our stock levels.
  • Show ads for our store on other websites and social media, if you allow advertising cookies.
  • Prevent fraud and keep the store and payments secure.
  • Keep the records we need for tax and accounting, and meet our other legal obligations.

We do not sell your personal information.

4. Your consent

We collect, use and share your personal information with your consent, as PIPEDA and Alberta's PIPA require, except where the law allows or requires otherwise.

  • Orders: when you place an order, you consent to us using your information to process, pay for, ship and support that order.
  • Marketing emails: we only send promotional emails if you actively opt in, as required by Canada's Anti-Spam Legislation (CASL). Every marketing email has an unsubscribe link.
  • Cookies: where a cookie banner is shown, you can accept or decline non-essential cookies.

You can withdraw your consent at any time by contacting us (see "Contact us"), subject to legal or contractual limits. If you withdraw consent for something we need to fill an order (such as your shipping address), we may not be able to complete that order.

5. Who we share it with

We only share what each service provider needs to do its job for us. They are required to protect your information and may not use it for their own purposes, except as their own privacy policies allow.

  • Shopify Inc. hosts our website and checkout, and stores our order and customer records. See the Shopify Privacy Policy.
  • Payment processors.
  • Shopify Payments, which is powered by Stripe, processes card payments.
  • Other payment options, if they appear at checkout: Shop Pay (Shopify). If you choose one, that provider handles your payment under its own privacy policy.
  • Shipping carriers. Canada Post receive your name, shipping address and, where needed, your phone number and email for delivery updates.
  • Email marketing. We send emails using Shopify Messaging (Shopify Email).
  • Analytics and advertising.
  • We use Shopify Analytics to see how the store is used.
  • You can decline these through the cookie banner or your browser settings.
  • Marketplaces. We also sell on Amazon.ca and eBay. If you buy from us there, the marketplace collects your information and shares only what we need to ship your order (usually your name, shipping address and order details). Your purchase is also covered by that marketplace's own privacy policy.
  • Professional advisors, such as our accountant or lawyer, when needed for accounting, tax or legal purposes.
  • Legal and safety reasons. We may share information when the law requires it, to respond to valid legal requests, or to protect our rights, our customers or the public from fraud.
  • Business transfer. If our business is sold or merged, customer information may be transferred to the new owner, who must continue to protect it.

6. Storage outside Canada

Some of our service providers, including Shopify, Stripe, PayPal, Google and Meta, store or process information outside Canada, mainly in the United States. While it is there, it is protected by contracts and by those companies' security measures. It may also be subject to the laws of that country, which can include access by courts, law enforcement or government authorities there.

You can contact our Privacy Officer if you have questions about how our service providers outside Canada handle your information (see "Contact us").

7. Cookies

Cookies are small files saved by your browser. We use:

  • Essential cookies to keep your cart, run checkout, keep you logged in and keep the site secure. The store won't work properly without them.
  • Analytics cookies to understand how visitors use the site.
  • Advertising cookies, if enabled, to measure our ads and show them to people who have visited our store.

You can manage cookies through our cookie banner, where shown, or in your browser settings. Blocking essential cookies may stop the cart or checkout from working. For more on the cookies Shopify uses, see Shopify's cookie policy.

8. How long we keep it

  • Orders, invoices and payment records: as long as needed for tax and accounting. Usually that is 6 years from the end of the tax year they relate to, as the Canada Revenue Agency requires.
  • Customer accounts: until you ask us to close your account, or after a long period without use (three years), subject to the order records above.
  • Marketing email list: until you unsubscribe. After that we keep only a record of the unsubscribe so we don't email you again.
  • Customer service messages: as long as needed to resolve your request and any follow-up (two years).
  • Analytics data: according to the settings of the analytics tools we use.

When we no longer need personal information, we delete it or make it anonymous.

9. How we protect it

  • Our store runs on Shopify, which is certified to the PCI DSS Level 1 standard for card payments.
  • All pages and checkout use encrypted (HTTPS) connections.
  • Only people who need it to run the store can access customer information, and our admin accounts use strong passwords and two-step verification.
  • We don't keep payment card numbers.

No system is perfectly secure. If a privacy breach involving your information creates a real risk of significant harm to you, we will notify you and the appropriate privacy commissioner, as the law requires.

10. Your rights

Under PIPEDA and Alberta's PIPA, you can:

  • Ask to see the personal information we hold about you and how it has been used and shared.
  • Ask us to correct information that is wrong or incomplete.
  • Withdraw your consent, for example by unsubscribing from emails or asking us to delete your account, subject to legal limits such as our tax record-keeping.
  • Ask questions or complain about how we handle your information.

To make a request, contact our Privacy Officer (see below). We may need to confirm your identity first. We will reply within 30 days. If we need more time, or can't give you something (for example, because the law doesn't allow it), we will tell you why.

If you're not satisfied with our answer, you can complain to:

  • The Office of the Privacy Commissioner of Canada: www.priv.gc.ca, 1-800-282-1376.
  • The Office of the Information and Privacy Commissioner of Alberta: www.oipc.ab.ca.

11. Children

Our store is meant for adults and is not aimed at children. Some of our hobby products are suitable for younger players, but purchases should be made by an adult. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time, for example when we add a new service or the law changes. We will post the new version on this page and change the "Last updated" date. If a change is significant, we will put a notice on the site or email customers who have accounts or have signed up for our emails.
